Privacy Policy

1. About This Policy

ConveyIQ Pty Ltd ABN 68 647 408 857 ("ConveyIQ", "we", "us", "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), as amended by the Privacy and Other Legislation Amendment Act 2024.

This policy applies to all personal information collected through the ConveyIQ platform at conveyiq.com.au. The platform is intended for licensed Australian conveyancers and solicitors and their authorised staff.

2. What Personal Information We Collect

Account information: When you register, we collect your full name, email address, firm name, and Australian state of operation.

Billing information: Payment card details are collected and processed directly by Stripe, Inc. We do not store your full payment card details. We retain Stripe customer IDs and subscription status.

Usage data: We collect data about how you use the platform, including review history, credit usage, login timestamps, and device/browser information.

Contract documents: You upload property contracts for analysis. These documents may contain personal information relating to property buyers, sellers, and agents. We treat uploaded documents as confidential. Documents are permanently deleted immediately upon completion of the review. We do not use uploaded documents for AI training.

Extracted analytics data: After a review is completed, we retain certain anonymised, non-identifiable data extracted from contracts — specifically property address, purchase price, contract type, and settlement date — for the purpose of building market intelligence analytics. This data is stripped of any personal identifiers relating to buyers, sellers, or clients before retention.

3. How We Use Your Information

We use your personal information to:

  • Provide, operate, and improve the ConveyIQ platform;
  • Process subscription payments and manage your account;
  • Send you transactional emails (account confirmations, review completions, invoices);
  • Respond to your support requests;
  • Send you product updates and relevant communications (you may opt out at any time);
  • Comply with our legal obligations;
  • Detect and prevent fraud, abuse, and security incidents.

We do not sell your personal information to third parties. We do not use your personal information for advertising purposes.

4. Disclosure of Personal Information

We may disclose your personal information to the following categories of third parties:

  • Stripe, Inc. — payment processing (United States). Stripe is certified to PCI DSS Level 1.
  • Supabase, Inc. — database and authentication infrastructure (Singapore region). Data is stored in Singapore.
  • Anthropic, PBC — AI processing of uploaded contract documents (United States). Documents are processed solely for the purpose of generating your review and are subject to Anthropic's enterprise data handling commitments. Anthropic does not train on your documents.
  • Resend, Inc. — transactional email delivery (United States).
  • Vercel, Inc. — hosting and deployment infrastructure (United States/global CDN).

Each of these service providers is bound by contractual obligations consistent with Australian privacy law requirements under APP 8. We take reasonable steps to ensure they handle your information appropriately.

We will also disclose personal information if required to do so by law, court order, or a government authority, or to protect our rights, property, or safety or that of our users.

5. Cross-Border Data Transfers

Some of our service providers are located outside Australia, including in the United States and Singapore. By using ConveyIQ, you consent to your personal information being transferred to and processed in these countries. We take reasonable steps to ensure that overseas recipients handle your information in a manner consistent with the Australian Privacy Principles.

6. Data Security

We implement appropriate technical and organisational security measures to protect your personal information, including:

  • Encryption of data in transit (TLS 1.2+) and at rest;
  • Row-level security policies on all database tables;
  • Access controls limiting employee access to personal information;
  • Immediate and permanent deletion of uploaded documents after processing.

No method of transmission over the internet is 100% secure. While we take reasonable precautions, we cannot guarantee absolute security.

7. Data Retention

We retain your account information for as long as your account is active, and for up to 7 years after closure for legal and tax compliance purposes. Review history and credit usage data are retained for the life of your account. Uploaded contract documents are deleted immediately upon review completion — they are never retained beyond that point.

8. Your Rights

Under the Australian Privacy Principles, you have the right to:

  • Access the personal information we hold about you;
  • Request correction of inaccurate or out-of-date information;
  • Request deletion of your account and associated personal information (subject to legal retention obligations);
  • Complain about our handling of your personal information.

9. Complaints

If you have a concern about our handling of your personal information, please contact us first at privacy@conveyiq.com.au. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you by email if we make material changes. The current version is always available at conveyiq.com.au/privacy.
